What kind of business do you run?
?
Pick the closest fit. It sets what we assume about inventory and job costing, so it does affect your figure.
Your industry tells us what to expect: whether you hold stock, and whether your work is organised by job. We price on that rather than asking you two more questions, so it does move your figure. If the assumption is wrong for your business, tell us when we meet and we will adjust it. It also shapes the accounts and reports we set up.

What kind of business is it?
?
A few words is plenty. Choosing Other means we assume no inventory and no job costing.
What you type here does not change your figure; the list above does, because it sets what we expect you to need. Other is priced as neither inventory nor job costing, so if you have either, say so when we meet.
About how many transactions do you have each month?
?
Every deposit, card charge, and transfer across your accounts.
Count the individual lines on your bank and credit card statements in a typical month, not the number of customers or invoices. One supplier run and one customer payment are one transaction each. If you're unsure, open last month's statement and estimate how many lines it has.

In which states does your business currently have sales tax, B&O, or gross receipts filing obligations, and would you like us to take care of the filings?
?
Select every state where you already have an obligation. Choose the first option instead if you would rather keep the filings in house.
Registration follows where you have staff, property, or enough sales to create nexus, not just where your office is. Each state has its own returns, deadlines, and account logins, which is why the price goes up per state rather than per return.

How many W-2 employees or active 1099 contractors do you pay?
?
Count yourself if you are paid through payroll. Count staff and regular field contractors both.
Count W-2 employees and any 1099 contractors you pay on an ongoing basis, and count yourself if you take a W-2 paycheck, because an owner on payroll is still a pay run and still files. Both create work: employees mean payroll runs and employer filings, and regular contractors mean payment tracking and year-end 1099s. A one-off subcontractor you used once doesn't count. If nobody is on payroll and you pay no regular contractors, choose 0.

0: no W-2 employees or 1099 contractors

6 – 15 field techs or workers
16 – 25 field techs or workers

Who runs the payroll?
?
We can run it, or just pick up the accounting side.
If we run payroll, that covers the pay runs themselves, new-hire setup, worker classification, and year-end W-2s and 1099s. If you keep payroll in-house (through Gusto, ADP, or anyone else), we map the journal entries into your books so labor lands against the right jobs and your cost of goods sold is accurate. Either way your employer filings are handled.

Would you like us to handle paying your vendors?
?
Accounts payable: the money you owe out.
Accounts payable is the bills your vendors and suppliers send you on credit terms. They deliver first and you pay later, on net 15, net 30, or whatever you've agreed. Choose yes if you'd like us to receive those bills, code them to the right accounts, route them for your approval, and schedule the payments. Choose no if you handle bill payment yourself, or if you pay everything on the spot by card.

Yes, handle our bills
No, we have no vendors on credit terms, or we pay bills ourselves
About how many vendor bills do you receive monthly?
?
The number of bills, not the number of vendors.
Count the bills your suppliers send you on credit terms in a typical month: materials, subcontractors, utilities, software. Not the number of vendors: one who bills you weekly counts four times. Card purchases you pay immediately aren't accounts payable.

Do you issue purchase orders?
?
Matching orders to bills before anything is paid.
A purchase order is issued before you buy, committing to a price and quantity up front. Purchase order management means we check every incoming bill against its original order and flag any mismatch in price or quantity before payment goes out. It's common in construction, manufacturing, and distribution. If you simply pay bills as they arrive, choose no.

Would you like us to handle invoicing your customers?
?
Accounts receivable: the money owed to you.
Accounts receivable is money coming in from customers. Choose yes if you'd like us to send invoices, apply incoming payments against them, and follow up on overdue accounts. Choose no if you invoice customers yourself or take payment at the point of sale.
Select an option
Yes, handle our invoicing
No, we don't invoice customers, or we handle invoicing ourselves
About how many customer invoices do you send monthly?
?
Invoices sent, not customers served.
Count the invoices you send out each month. If you take payment immediately at the point of sale and rarely invoice, your count is probably low. A retail shop might send only a handful.

Up to 20 invoices
21 – 40 invoices
